Here are the instructions for doing a couple different import changes for custom fields. 


Renaming Users

  1. Open a new excel spreadsheet on your computer
  2. Create 2 columns
    1. If you are changing a username, you will have one labeled User Name (left) and one labeled NewName (right). This input is case sensitive and space sensitive. So make sure to enter it exactly as shown.
    2. If you are changing a user's full name, you will have one labeled Login (left, this is the same as username), and one labeled Full Name (right). This input is also case and space sensitive, so enter exactly as shown. 
  3. Fill in the data for old usernames or full names as well as desired changes. Your sheet will look like this
    1. For username 
    2. For user Full Name 

Save this sheet under a dated file name so you can know when the update occurred

Log in to your Journyx admin account

From your Journyx dashboard go to Settings > Import Data > User Import

You should see this screen. Select the choose file option for the import

Once you have selected choose file, open the file you just created with the time stamp. After the file is selected you will see this change in the import screen



 

This means your file has been uploaded, but you should first click preview in order to verify that the import matches how you want the data to show.

 

In preview mode, you’re looking for any possible reported errors or warnings that show you might have an issue in your import file, as these will tell you what you need to correct in order for import to go smoothly. Area (1) shows the list of errors or warnings your import shows if the formatting is incorrect or the system doesn't recognize the users. It also shows what the system is receiving from the import, which you can see under the modified users portion.


You can also view exactly how the excel sheet shows up in Journyx below the modified users portion in section (2). If you don’t see any error messages and are satisfied with how the data looks, click continue (3). If you see something that needs to be corrected during this preview, instead of clicking continue, click cancel and return to upload screen, which will allow you to reattempt your import after format corrections.


 

After you click continue, you will see a final import screen indicating whether or not the import was completed, and again verifying what was changed during the process.


 

You should now have newly changed usernames or Full Names for all of the users you selected for this process!

 

Change User Email Address

 

In order to change email addresses for a group of users, you would also navigate to the user import screen via Settings > Imports > User Imports, but your import spreadsheet would look like this with Email Address in the second column.

 

This is case sensitive as well as space sensitive, so be sure to enter exactly as shown. 

 

 

After you format your email changes this way, the rest of the process is the same as for changing user’s names.

 

Renaming Projects

 

If you wish to rename a group of projects, navigate first to

Settings > Import Data > Project Import

 

Here, you will be taken to a screen that is formatted the same way as the User Import screen, but is designated for projects.

 

The correct spreadsheet format for project import is

This is space and case sensitive, so be sure to enter it exactly as shown. It does not matter if there are spaces in your project name, make sure to enter the project names in this sheet exactly as they appear on your site, and exactly how you want them to be renamed on your site.

 

After you’ve created and saved this sheet, go back to the project import screen you navigated to before, and repeat the process for username change only this time we will change project names with the choose import file function, preview, and continue sequence.
